Payments & money

Income & expenses

Record income and expenses, keep receipts, review money activity and corrections, and manage stock purchases, suppliers and categories.

Record an expense

  1. Open Record expense

From Income & expenses, choose Record expense for spending your business has already paid. This fictional example uses USD and cash.

  2. Review the quick expense form

Record expense asks for Amount paid, Category, Date and an optional Note. Paid from is fixed to Cash. The currency follows the Income & expenses view you opened; it is not changed inside this form.

  3. Enter the amount paid

Enter 24.50 in Amount paid (USD). Use an amount above zero, with at most two decimal places and no currency symbol. The maximum is 99,999,999.99.

  4. Choose the category

Choose Utilities for the internet bill. This example uses the default Salary, Rent, Utilities and Other categories. A store with saved categories shows its configured category names.

  5. Check the amount and category

Check 24.50 USD and Utilities before continuing. Category buttons classify the record; choosing one does not record a payment. Manage categories opens the category settings.

  6. Check the expense date

Date starts with the current business date. Keep 23 October 2026 for this example, or use the native date input to choose the date of the paid expense. A valid date is required.

  7. Review Paid from

Paid from is a read-only Cash field in the quick form. Record spending that has already happened; saving this record does not initiate a bank payment.

  8. Add a short note

Add October internet bill in Note (optional). The note helps identify this expense in the activity list and saved entry. It can contain up to 255 characters.

  9. Open optional details

Choose Add receipt or more details to reveal the optional details and receipt fields. Buying products? Use Buy stock opens the separate inventory-purchase form.

  10. Add more details

Add useful information about the expense in More details (optional). This field supports up to 4,000 characters and can be left empty.

  11. Choose an optional receipt

Use Receipt (optional) to choose an image or PDF document. Images are compressed automatically. This fictional PDF is selected locally and uploads when Save expense is chosen.

  12. Check the selected receipt

Check internet-receipt.pdf and the added details. Both are optional. Selecting a file or adding details has not yet recorded the expense.

  13. Review the expense

Review 24.50 USD, Utilities, the date, Cash, the note and optional receipt. Record each paid expense once. The quick form has no separate Save draft or Generate expense action.

  14. Save the expense

Choose Save expense to upload the selected receipt and record the expense once. If the result is uncertain, keep the entry open and use Check status before attempting another submission.

  15. Wait for saving

The button changes to Saving… while the record is saved. The form is locked during this request. The app opens Expense saved after a successful save.

  16. Review Expense saved

Expense saved shows the note, a negative 24.50 USD amount, and Recorded · Manual entry. Your money history and totals have updated. This is a saved cash expense, not an unpaid bill.

  17. Check the saved details

Check Category, Date, Paid from, Reference and the optional Details. Correct entry is available if the record needs correction and keeps the original history.

  18. Review the receipt link

View receipt retrieves the saved receipt link. Open receipt then opens that document. This illustration uses a fictional file and does not open a real receipt.

  19. Return to the money history

Choose Back to return to Income & expenses. The expense remains recorded in the activity list.

  20. Check the updated activity

October internet bill appears as Manual · Utilities · Cash with a negative 24.50 USD amount. In this example, Income received is zero, Expenses paid is 24.50 USD and Total balance is minus 24.50 USD for the period. Total balance is not a profit calculation.

Money features

Understand totals and activity types

Review scoped income, expenses and other movements. Income received, Expenses paid and Total balance use the selected dates, currency, method and status. Total balance is income minus expenses for that scope, not a profit calculation or an all-time wallet balance. Activity tabs and search change the visible rows without changing these summary figures. Pending rows, corrected originals and voided expenses are excluded from current totals; an expense void is not new income.

Search and review periods

Find a saved description or reference and switch date scopes. Search description or order number also matches transaction references. This month and Last month group entries by day; This year groups them by month. Search text remains when switching periods. Clear the text to restore all rows in that period. The summary covers the selected scope rather than only the search results.

Filter money activity

Keep currencies separate and choose method, status and dates. Currency, Method and Status selectors update the scope immediately. From and To take effect when you choose Apply filters with a valid date range; this also closes the dialog. Cash is the direct balance; Digital is separate. Changing date, currency, method or status changes the summary scope. The example completed-cash total is 150.00 USD income less 92.00 USD expenses, leaving 58.00 USD.

Browse pages and export

Review ten entries per page and export the full matching activity. Previous, Next and page numbers navigate matching rows. A group heading keeps the total for its whole date group, even when only part of that group fits on the current page. Export includes all matching rows across pages plus scope metadata. Each CSV row includes description, date, source, type, signed amount, currency, status and reference. The guide downloads no file.

Inspect the original source

Open a row and follow its saved order, booking or expense. Entry details shows the signed amount, date, method and reference. Manual records may include details, receipt access and a correction action. Generated rows expose their original source, such as View order, View expense or View booking & invoice. Read the original expense for its items, supplier and ledger entries.

Correct a manual entry

Record a replacement while keeping the original history. An uncorrected, non-void manual entry exposes Correct entry. The prefilled form keeps the kind and currency. Update the amount or supporting fields and save. Income correction reverses the original and adds a replacement. Expense correction voids the old expense and posts a new one. Correction history links both records, and the current summary counts the replacement once.

Save and generate a stock purchase

Prepare a draft, adjust it and then record money and stock. Record expense includes Buying products? Use Buy stock. The separate New expense form supports inventory product lines, a supplier, tax, notes and Paid from. Save as draft keeps a draft with no ledger or stock movement. Edit draft adjusts it; Generate expense records the expense and adds catalog quantities to stock. Cash or an enabled saved account identifies the source of the vendor’s own funds; every such expense reduces the direct balance. Digital balance cannot pay an expense.

Void a generated expense

Reverse a posted purchase without deleting its ledger history. Open the generated expense and choose Void expense. Keep expense cancels the action. An optional reason is retained when you confirm. Voiding restores the amount to the direct balance and removes purchased catalog quantities from stock, floored at zero. The original negative ledger entry and positive expense-void entry remain saved. No bank transfer is sent.

Manage suppliers

Keep the people and businesses the store buys from. Suppliers & categories opens the Suppliers settings page. Add supplier requires a name and supports contact person, phone, email, address, notes and an Active checkbox. The list supports search, status filtering, desktop sorting, pages, export, Edit and delete. Deleting a supplier preserves linked expense amounts while removing the supplier link. Supplier settings do not move money.

Manage money categories

Name the categories used for manual income and expenses. Open Suppliers & categories, choose Categories and Add category. Enter a name and review Active before saving. Categories support Edit, delete, search, status filtering and export. Existing income and expense records retain their saved category name when a category record is deleted.
